How To Convert Hourly Rate To Day Rate
1Define The Day
A quoted day should state how many billable hours are included. Seven, 7.5 and 8 hours can all appear in freelance contracts.
2Price Admin
Briefing, file transfer, client emails, project notes and invoice admin often sit outside visible delivery time. Add a small uplift if the day rate must cover it.
3Separate Expenses
Travel, parking, materials and specialist software may be better shown as reimbursable expenses. If the client wants one figure, include an allowance.
4Round Deliberately
Rounding to the nearest GBP 10 or GBP 25 makes quotes easier to read. Rounding should not hide a discount or a weak margin.
What The Result Means
The headline day rate is the rounded quote after base hours, admin uplift, expenses, overtime and any discount. The effective hourly rate shows what the rounded day rate means when divided by the ordinary billable hours. If a discount has been entered, the result also shows how the quote moves from internal target to client-facing figure.
The result is useful for turning a familiar hourly rate into a day booking. It is less suitable for long retainers, outcome-based work or projects where responsibility continues after the delivery day. In those cases, add risk, review rounds, management time and payment terms separately.
Formula And Method
Base time value = hourly rate x billable hours.
Admin uplift = base time value x admin uplift percentage.
Overtime add-on = overtime rate x overtime hours.
Pre-discount day value = base time value + admin uplift + expense allowance + overtime add-on.
Discounted day value = pre-discount day value x (1 – discount percentage).
Quoted day rate = discounted day value rounded to the selected increment.
Worked Hourly-To-Day Examples
GBP 65 Per Hour
At 7.5 billable hours, GBP 65 per hour gives GBP 487.50 before uplift. A 10% admin uplift and GBP 25 expense allowance rounds close to a GBP 560 day.
Short Workshop Day
A five-hour workshop may still need preparation, travel and follow-up. Quoting only five hours can underprice the booking if the whole day is blocked.
Overtime Clause
If the quoted day includes 7.5 hours, add a separate overtime rate for extra hours rather than letting a long day dilute the rate.

When A Day Rate Is Not The Best Price
A day rate works well for consultancy days, on-site work, workshops, delivery sprints and support blocks. It can be a poor fit for fixed deliverables where the client wants a finished outcome, because the value of the result may not match the hours spent. For creative work, software delivery, copywriting, audits and strategy, compare a day-rate quote with a fixed project fee and a retainer option.
Do not quote a low day rate simply because a client asks for a number quickly. A day can still include preparation, risk, responsibility and follow-up. Put assumptions in writing before the work starts.
Scope Notes To Add To A Day Booking
A clean day-rate quote should say what the client receives for the booked day. State the number of working hours, whether calls and messages count inside those hours, how many review rounds are included, and whether the day must be used on one date or can be split. If the booking is on site, state whether travel time, parking, subsistence and overnight costs are included or invoiced separately. These notes stop an hourly conversion from becoming an open-ended commitment.
For remote work, also price the handover. A workshop may need slides, notes, attendance summaries and follow-up actions. A design or development day may create files that need packaging, testing, uploading or client explanation. If the day rate includes that work, add it through the admin uplift. If it does not, name it as a separate charge. The result is therefore not just hourly rate multiplied by hours; it is a client-facing quote built from time, support, expenses, discounting and rounding.
