Private School Fee Method
Annual tuition and boarding:
gross fees = (tuition per term + boarding per term) x termsDiscounted fee base:
discounted base = gross fees x (1 - bursary %) x (1 - sibling discount %)VAT estimate:
VAT = discounted fee base x VAT rate %Annual household total:
total = (discounted base + VAT + admin + deposit + uniform + extras) x childrenThe calculator separates tuition and boarding from extras because VAT and contract treatment can differ by line item. From 1 January 2025, private school education and boarding fees became subject to VAT under UK rules, with anti-forestalling rules for some advance payments. The page therefore applies VAT to the discounted tuition and boarding base, then adds extras separately. If your school invoice shows VAT on other lines, add those amounts to the VATable base by increasing the fee fields or adjusting the extras.
Bursaries and scholarships can be applied in different ways. Some reduce tuition only, some reduce boarding, and some are means-tested each year. The calculator applies bursary and sibling percentages to the combined tuition and boarding base for a planning estimate. For a real offer, use the award letter and school contract. Deposits may be refundable later, but they still affect cash flow in the year paid.
Worked Family Examples
Day Pupil Year
GBP 6,500 per term for three terms gives GBP 19,500 before VAT. At 20%, VAT adds GBP 3,900 before uniform, meals and deposit.
Boarding Place
Adding GBP 4,000 boarding per term increases the VATable fee base by GBP 12,000 a year before discounts. Boarding changes cash flow sharply.
Bursary Offer
A 40% bursary on tuition and boarding can cut the fee base, but extras, uniform, deposits and travel may still need full payment.
Fee Lines To Check On The Invoice
| Fee Line | Planning Treatment | Question For The School |
|---|---|---|
| Tuition | Usually main VATable education fee. | Is the quoted amount VAT-inclusive? |
| Boarding | Often treated with education fee after VAT change. | Is boarding included in the VAT line? |
| Registration fee | One-off cash cost. | Is it refundable or credited later? |
| Acceptance deposit | Cash-flow cost, refund rules vary. | When and how is it returned? |
| Uniform | Often paid outside termly bill. | What is compulsory in year one? |
| Meals | May be bundled or optional. | Is lunch included in fees? |
| Transport | Can be annual, termly or pay-as-you-go. | Are late buses or weekend routes extra? |
| Exams and trips | Can vary by year group. | Which costs are compulsory? |
Budget Notes Before Accepting A Place
Ask the school for a written schedule showing VAT-inclusive termly fees, payment dates, Direct Debit options, late-payment charges, notice period and deposit rules. A fee that is manageable as an annual total may still be hard if two terms fall close to mortgage renewals, childcare costs or other school expenses. Monthly saving can help, but it does not remove the contractual payment dates.
Check what happens if a bursary is reviewed, reduced or removed. Means-tested awards may change when income, savings or family circumstances change. Sibling discounts may apply only while more than one child is enrolled. A child moving from junior to senior school may face higher fees, different uniform, trips, devices, exam charges and transport. Build a second-year estimate before accepting a first-year offer.
Private school affordability is not only the headline fee. Parents often need to budget for holiday care, sports kit, music lessons, boarding extras, insurance, laptop schemes, overseas trips, exams, lunch, transport and social costs. The result card shows a planning number; the final decision should be based on the contract, school invoice, family income stability and a realistic contingency.
Cash Flow Across The School Year
Termly billing can create pressure even when the annual total looks manageable. Many schools request payment before the start of term, while salary, bonuses or investment income may arrive later. Put the payment dates into a household calendar and compare them with mortgage, rent, insurance, holiday and childcare costs. If grandparents contribute, agree whether they pay the school directly or transfer money to parents before the due date.
Ask about notice periods before accepting a place. A term’s notice may be needed to leave without paying another term’s fees. That notice rule can matter if a job changes, a bursary is reduced, a child moves school or boarding no longer works. The calculator gives the number; the contract gives the commitment.
Senior Year Add-Ons
For senior years, add exam entries, revision courses, subject trips and devices early. These costs often arrive after the admission decision, but they can change affordability. Ask whether exam fees are included in tuition or billed separately, and whether optional trips are truly optional for the chosen subjects.
FAQs
Does VAT apply to private school fees?
UK VAT rules changed from 1 January 2025 for private school education and boarding fees. Check the school’s VAT-inclusive invoice and HMRC guidance for exact treatment.
Are meals and transport always VATable?
Not necessarily in the same way as tuition and boarding. The calculator keeps extras separate so you can match the school’s invoice lines.
Should I include the deposit?
Include it for cash-flow planning if it is paid this year. It may be refundable later, but the contract decides when and how.
How should I enter a bursary?
Enter the percentage reduction from the award letter. If the bursary applies only to tuition, reduce the tuition field directly rather than applying it to all fees.
Can this predict future fee rises?
No. It calculates from entered values. To model fee rises, raise the tuition, boarding and extras fields or rerun a second-year scenario.
Is this tax advice?
No. It is a household budget estimate. VAT treatment, advance payments and school invoicing should be checked against HMRC guidance and the school’s contract.
